A useful first table needs only the fields your next step requires. For expenses, start with merchant, date, currency, tax, and total. An invoice may also need invoice number, supplier, due date, and line items. Keep invoices and payment receipts distinguishable so one purchase does not become two expense entries.

Phone photos of receipts
Use a square, focused image with every edge visible. Glare or a cropped total needs a better photo. Review the merchant, date, tax, tip, and final amount against the image.
Supplier invoices
Extract the invoice reference, supplier fields, currency, line items, and total. Keep a stated due date separate from the invoice date and let your existing process track payment status.
Monthly expense folders
Keep original files with clear names or references. Review duplicates and missing receipts before combining accepted rows in a monthly workbook.

Review against the source
- Compare the merchant and full date with the source, especially when the date format is ambiguous.
- Check tax, tip, discount, and final total separately instead of assuming every printed amount is a total.
- Keep currency visible and retain refunds or credit notes with their correct sign.
- Review duplicates and record missing evidence before sending the workbook to the bookkeeper.

Use the accepted output
Excel is useful for a monthly expense workbook and reviewer notes. CSV works when your receiving software has an agreed column mapping. Keep the original receipts and invoices according to your record-keeping requirements and give the reviewer a way to find each source.
Processing choices and allowances
Choose hosted AI, your own provider keys, or local Ollama on an eligible plan. Each successfully processed hosted page uses one PE. Free and Hobby BYOK use the same PE allowance; Pro and Ultra BYOK cost zero PE, with provider charges and limits still applying. Failed pages cost zero PE.
Check current plans, page limits, and capabilities and review storage and data-residency policies before processing sensitive records. Local model inference is a separate choice from browser-local file storage.
