What the structured receipt data contains

  • Merchant, location, date, time, currency, payment method, subtotal, tax, tip, and total appear as document fields.
  • Itemized purchases remain rows with the printed description, quantity when present, unit price, and line amount.
  • CSV is useful for a flat expense import, Excel supports review and formulas, and JSON supports mapping into an expense application.
  • The extraction keeps purchase evidence separate from policy decisions. It can read a printed category clue or payment method, but it does not decide the expense account, business purpose, reimbursable amount or tax treatment.
  • Subtotal, discount, tax, service charge, tip and final total remain distinct when the receipt displays them. Reviewers can recalculate the arithmetic without folding a handwritten tip into printed tax or treating a card authorization amount as the receipt total.
  • A source image remains available during review, which matters when thermal paper has faded or the receipt is folded. Corrections should preserve the printed value and record the accepted value when they differ.

Thermal paper needs a closer look

Faded print, glare, folds, and handwritten tips can change digits. Check the date, currency, tax, tip, and final total before using the receipt for reimbursement or tax records.

Cases that need manual review

  • Glare or a fold through the total can turn an 8 into a 3 or hide a decimal point.
  • Handwritten tips and totals are less predictable than printed values and must be compared with the image.
  • Merchant abbreviations and card terminal text can be confused with item names or the legal merchant name.
  • A payment slip can prove an amount was charged without showing what was purchased. It should not be treated as an itemized receipt by itself.
  • Two photos of the same long receipt can create duplicate header or total rows when their images overlap.
  • Tax-inclusive prices, coupons, split tenders and refunds can break a simple subtotal-plus-tax calculation unless each printed adjustment is kept separately.

What receipt image formats are supported?

You can upload PDF, PNG, JPG, JPEG, and WebP files. Use the original photo when possible instead of a compressed screenshot.

Can receipt OCR read handwritten tips?

It may read a clear handwritten tip or total, but handwriting is less predictable than printed text. Always compare those values with the receipt image.

Does it extract every purchased item?

It can return repeating item rows when the receipt is itemized and legible. Very narrow, faded, or abbreviated lines may need correction.

Is a card or payment-app screenshot enough for expense review?

It can provide payment evidence such as merchant, amount, time and reference, but it may not show what was purchased or the tax breakdown. Keep it linked to the itemized receipt or employee claim rather than treating it as a complete substitute.

How can I reduce duplicate receipt records?

Compare merchant, date, amount, currency and payment reference, and look for overlapping photos of the same long receipt. Mark the duplicate explicitly instead of deleting evidence before a reviewer confirms which image is the complete source.
