Free AI tool to extract invoice data and line items into spreadsheets

Extract invoice data from a PDF, scan, or photo, then check every field beside the original.

Upload one supplier invoice without a credit card. The tool proposes the vendor, invoice number, dates, tax details, totals, and line items, then keeps the source open for comparison. Review and correct the draft before exporting to Excel, CSV, or JSON after free signup. Nothing on this page approves the invoice for payment.

What does free invoice OCR extract?

Dynamite Docs uses AI to extract supplier names, invoice numbers, dates, taxes, totals, and line items from PDF invoices, scans, and photos. Review the data beside the source, then export it to Excel, CSV, or JSON.

Accepts invoice PDFs and images up to 50 MB, separates document fields from repeating rows, and keeps the source visible while you check the result.

How does Free Invoice OCR extract tables and totals from supplier invoices?

Use free invoice OCR when one PDF or image needs to become reviewed invoice fields and line-item rows. It is the right starting point when the immediate question is whether a supplier layout, scan quality, or item table can be parsed accurately. Before uploading, include every invoice page, make sure the invoice number and total are legible, and avoid phone screenshots that crop table margins or receipt borders.

After extraction, verify the supplier entity, invoice number, date, currency, purchase-order reference, tax breakdown, and total amount against the original document. Recalculate the line-item sum against the invoice total, check for inclusive versus exclusive tax handling, and treat unexpected bank-detail changes or new remittance addresses as separate verification exceptions.

Use Invoice to JSON when a developer needs a sample structured payload for an ERP mapper or API prototype. Use PDF to Excel when the document is a general spreadsheet schedule rather than an invoice. When supplier batches, saved corrections, stored audit trails, multi-reviewer sign-off, or API delivery become recurring requirements, move to the recurring accounting workflow.

The output stays beside the evidence

Dynamite Docs keeps the source and structured result in one review workspace. Infer document fields and repeating rows, correct values against the page, inspect warnings and export the accepted result.

This is more than a plain OCR transcript. The result separates fields, line items, totals and notes so a person can check the structure before sending data to Excel, CSV, JSON, Google Sheets, Google Drive, a webhook or the API.

Flexible AI processing

Start with hosted processing, connect a provider key when you need control over the provider account, or use the signed local companion on an eligible plan. The source-first invoice review stays the same.

Provider keys are encrypted before storage. Compare processing options or follow the setup guide.

What the structured invoice data contains

  • Invoice identity stays in document fields, including supplier, buyer, invoice number, date, currency, and purchase-order reference.
  • Line items remain repeating rows with description, quantity, unit price, tax, and line amount columns.
  • CSV flattens the selected table, Excel can keep document fields and rows in separate sheets, and JSON preserves columns, rows, and document metadata.
  • The output keeps printed identifiers as text so leading zeroes, slashes and supplier prefixes are not lost. Normalized dates or numeric amounts should sit beside the source value when a downstream system needs a different representation.
  • Document-level totals and line-level values remain separate. This makes it possible to recalculate subtotal, tax, shipping, discounts and total without repeating the invoice header on every line or treating a footer as another purchased item.
  • Confidence information helps reviewers find uncertain fields, but it is not a payment approval. Supplier identity, bank-detail changes, duplicate invoice references and arithmetic exceptions need the controls defined by your accounts-payable process.

Review invoice fields and line items

The result adapts to the invoice instead of forcing every supplier into one fixed form.

  • Supplier: Northstar Office Supply
  • Invoice number: INV-0842
  • Invoice and due dates: 28 Aug / 27 Sep 2026
  • Purchase order: PO-7714
  • Currency: USD
  • GSTIN / tax ID: When printed on the invoice
  • HSN / SAC: Line-level code when present
  • CGST / SGST / IGST: Separate printed tax components
  • Subtotal: 2,450.00
  • Tax: 196.00
  • Invoice total: 2,646.00
  • Line items: Description, quantity, rate, amount

Extract first, then decide what to keep

  1. Upload and extract one invoice without creating an account.
  2. Review low-confidence values beside the source document.
  3. CSV, Excel and JSON downloads are included on Free after signup, within Free plan limits.
  4. Starter and above add stored files, batch jobs and connected exports. Email intake requires Pro or Scale. File and processing limits depend on your plan.

Check the numbers that affect payment

Compare the invoice number, supplier, dates, bank details, tax, total, and line count with the source. A clear scan improves OCR, but every payable invoice still needs a human check.

Cases that need manual review

  • A stamp or handwritten approval over the invoice number can replace one or more OCR characters.
  • A continued table without repeated headers can attach page-two values to the wrong column.
  • Credit notes, discounts, and inclusive tax can make a simple subtotal-plus-tax check invalid unless their signs are reviewed.
  • A remittance address or bank block can be mistaken for the supplier address when several legal entities appear on the page.
  • A quantity such as 1,000 can be read as 1.000, and a currency symbol may be separated from the amount. Locale and currency must be reviewed together.
  • Duplicate invoices can look different after a supplier changes its logo or layout. Match on supplier, full invoice number, date and amount rather than visual appearance alone.
  • Enter one supplier invoice without retyping it
  • Check a phone photo before adding it to accounts
  • Test an unfamiliar invoice layout before a batch run

Questions about Free AI tool to extract invoice data and line items into spreadsheets

The 28-day Free trial includes 25 page-equivalents per month shared by hosted and own-key processing, 5 hosted pages per document, and 5 documents per day. Anonymous trials have separate daily limits.

Can the invoice OCR read scanned PDFs?

Yes. You can upload a text PDF, scanned PDF, PNG, JPG, JPEG, or WebP image. Crooked, blurred, or heavily compressed scans may need more correction.

Does it extract invoice line items?

Yes. The extractor can return repeating line-item rows as well as supplier, date, tax, currency, and total fields when they are present.

Can it read an invoice photo from my phone?

Yes. Upload the original JPG, PNG, JPEG, or WebP image. Keep all page edges visible, hold the camera parallel to the paper, avoid glare, and make sure the smallest line-item text is readable before extraction.

Can it extract GST invoice fields?

When they are printed clearly, the result can include supplier and recipient GSTINs, HSN or SAC codes, taxable value, CGST, SGST, IGST, and totals. Check the printed roles, tax split, and arithmetic. Extraction does not verify registration, choose tax treatment, or file a return.

Is the invoice stored in the cloud?

Anonymous originals stay in browser storage rather than the cloud file library. Invoice extraction may still send document content to the AI provider selected for the run. Review provider and retention settings before using a confidential invoice.

What is free, and do I need an account?

You can upload and review an extraction without an account or credit card. The current Free allowance shown on this page comes from the plan configuration. Create a free account when you want to download Excel, CSV, or JSON or keep the result.

Which export formats can I download?

After free signup, you can download the reviewed result as Excel, CSV, or JSON within Free plan limits. Excel can keep document fields and line items on separate sheets, CSV is one flat selected table, and JSON carries columns, rows, and document metadata.

How should I check an invoice OCR result before using it?

Compare the supplier, full invoice number, date, currency, purchase-order reference, bank details, tax and total with the source. Then verify line count and recalculate the subtotal from the extracted rows. Route any identity, duplicate, arithmetic or bank-change exception through your normal approval process.

How accurate is free invoice OCR?

Accuracy depends on the source and the fields you need. Clean printed headers are usually easier than faint tax IDs, handwritten changes, wrapped descriptions, or tables continued onto another page. Use confidence as a review cue, then compare every payment, identity, tax, and total field with the invoice.
